Scheduling Coordinator
As Scheduling Coordinator, primarily responsibility is to ensure coverage of nursing shifts, so that the appropriate number of personnel is on duty in every given shift.
Hours of Work: Approximately 22.5-30 hours a week. 9am to 5pm (days of the ...week to be determined in consultation)
DUTIES INCLUDE:
• Manage and produce staff schedules using scheduling software
• Perform data entry and adjust electronic timecards based on payroll exceptions and the collective agreement
• Consult and communicate with the Director of Care and the Charge Nurse concerning staffing and scheduling needs
• Schedule shifts when employees call in sick
• Communicate changes of employee shifts or task assignments
• Prepare internal and external employment openings and post as appropriate
• Collaborate and assist members working in the business office with human resources tasks, such as setting up interviews with potential candidates, gather new hire paperwork or make change to employee status
• Maintain attendance records and assist with data collection for the progressive discipline process for staff members who may demonstrate excessive absences and/or tardiness
• Answer incoming telephone lines; take and relay messages as required
• Perform clerical duties such as answering phones, scheduling appointments, making copies, filing documents
• Assist the Director of Care with counting inventory and ordering supplies as required
• Performs other duties as required
SKILLS AND KNOWLEDGE REQUIRED
• Successful completion of a recognized Business Administration or Medical Secretary Program or minimum of 2 years of business administration experience required
• 1 – 2 years scheduling experience preferred
• Computer software skills essential
• Scheduling software experience is an asset but not required (Staff Schedule Care)
• Analytical and problem-solving skills
• Interpersonal skills and telephone manners
• Ability to make decisions independently and appropriately
• Ability to multi-task and prioritize workflow
• Comfort working in an office environment
• Punctual and reliable
